2. What data we process
This Website has several of its own forms that collect your personal data when you fill them in voluntarily:
- Table booking (Kahiki Barcelona and Kahiki Mataró): name, phone and/or email, party size, date, time and language; optionally, notes. If you tick the marketing communications box, you also give us your date of birth.
- Private event request: name, phone and/or email, party size, event type, requested space, approximate date and, optionally, notes. Along with the request, we also store the IP address it was sent from.
- Club Kahiki sign-up (loyalty programme): full name, email, phone (optional), date of birth, and a password, which we always store encrypted (never in plain text). If you agree to receive marketing communications, we record your marketing consent.
When you submit either booking form, we also temporarily record, for anti-fraud purposes only (limiting abusive submissions), the IP address the submission was sent from.
You can also provide us with data by contacting us via:
- WhatsApp: your phone number and the content of the conversation, managed through WhatsApp Business (Meta).
- Email (kahikibarcelona@gmail.com): your email address and the content of your message.
- Phone: if you call us to make a reservation.
In addition, your browser stores locally (not on our servers) your chosen language, whether you've already seen the upcoming-event notice, your cookie preference and, if you're a Club Kahiki member, your login session — see our Cookie Policy.
3. Purpose of processing
- Manage your table booking: confirm it, notify you of changes, and send you a confirmation email.
- Manage your private event request and contact you with availability and a quote.
- Manage your Club Kahiki sign-up and activity: verify your account, identify you when you log in, and accrue and redeem points.
- If you gave your consent when booking or signing up for Club Kahiki, send you a birthday greeting or other marketing communications about Kahiki's promotions and news. You can withdraw this consent at any time.
- Respond to your questions about hours, menu or availability when you contact us via WhatsApp, email or phone.
- Prevent abusive or fraudulent use of the Website's forms.
4. Legal basis
The legal basis for processing is:
- The performance of a pre-contractual or contractual relationship: your table booking, your private event request, or your Club Kahiki membership.
- Your explicit consent, for sending marketing communications and for processing your date of birth for birthday greetings.
- Our legitimate interest in protecting the Website against abusive or fraudulent submissions (IP address on the booking forms).
- Your consent, when you start a conversation via WhatsApp, email or phone.
5. Retention
We keep the data from your table booking or private event request for as long as necessary to manage it, and afterwards for the legal limitation periods of liability. Club Kahiki members' data is kept for as long as the account remains active; if you request account deletion, we erase or anonymize it except where we are legally required to retain it. The IP address recorded for anti-fraud purposes is kept for a short period, limited to what is necessary to detect abusive submissions.
6. Recipients and data processors
We do not share your data with third parties except where legally required. We use the following providers as processors or as third-party services integrated into the website:
- Meta / WhatsApp — messaging.
- Google (Fonts and Google Maps) — fonts and embedded map in the contact section.
- Fourvenues — ticket sales for Kahiki's stand-up comedy shows (external link).
- Our web hosting and database provider, where booking, event request and Club Kahiki member data is stored.
7. Your rights
You can exercise your rights of access, rectification, erasure, objection, restriction of processing and portability by writing to kahikibarcelona@gmail.com, stating which right you wish to exercise and attaching a copy of an identity document. You also have the right to file a complaint with the Spanish Data Protection Agency (AEPD) if you believe the processing does not comply with applicable law.
8. Minors
This Website is not directed at minors under 14. Kahiki is a nightlife venue for adult audiences.
9. Changes to this policy
We may update this Privacy Policy to adapt it to legislative changes or changes to the Website. We recommend reviewing it periodically.
